Privacy notice
This notice explains how Guochen International Trademark Office uses the personal data you send through our English and Japanese request forms and by email, as required by Taiwan's Personal Data Protection Act and, for visitors in the EU, EEA and UK, the GDPR.
Who we are

What we collect
- Identification and contact details: your name, company or firm, work email and country.
- Details of your matter: the mark, a logo file if you attach one, the goods and services, your plans for Taiwan and any message.
- Technical details sent with the form: the page you used, the referring page and campaign tags in the link (for example utm_source or gclid).
- A record of your consent: when you agreed and which version of this notice you agreed to.
- Website measurement: these pages use Google Analytics 4 to count visits and whether a request was sent, never the contents of the form. For visitors in the EEA, the UK and Switzerland, analytics and advertising cookies stay off (Google Consent Mode), so only cookieless, aggregated measurement is sent. We do not use cookies for personalised advertising.
Why we use it, and on what basis
- To reply to your request and prepare a quote: based on your consent and on steps you ask us to take before a contract.
- If you instruct us, to carry out the trademark work: based on our contract with you.
- To keep the records our professional work and tax rules require: based on legal obligations.
- We do not sell your data or use it for unrelated marketing. You can withdraw your consent at any time by emailing us; this does not affect what we did before.
When, where, by whom and how it is used
- Period: requests that do not become instructions are kept for up to 24 months. Each month we review older requests and delete them, together with any logo you uploaded and the related emails. Client files are kept while the matter is active and for as long as the law requires afterwards.
- Area: Taiwan, and the countries where the providers below process data, including the United States.
- Recipients: Google (Google Workspace, Apps Script and Google Analytics) for email, form processing, file storage and website measurement; Cloudflare for website hosting and security; Telegram for an internal notice to our agent, which contains your name, company, email, country and a summary of your request; and, only if you instruct us, the Taiwan Intellectual Property Office (TIPO), where applicant details become part of the public register.
- Method: electronically, by our own staff and the providers above, with access limited to people who need it.
Transfers outside your country
For data from the EU, EEA or UK, Google and Cloudflare provide the European Commission's standard contractual clauses in their data processing terms. Telegram processes the internal notice under its own terms. Taiwan does not have an EU adequacy decision.
If you do not provide the data
The form fields marked as required are needed for us to reply. Without them we cannot answer your request or prepare a quote.
Your rights
- You can ask to see your data or receive a copy, to correct or complete it, to stop us collecting, processing or using it, and to have it deleted. If you are in the EU, EEA or UK, you can also ask us to restrict processing, object to it, or transfer your data, and you can complain to your data protection authority.
- Email guochenipt@gmail.com with your request. We reply within 30 days.
Changes to this notice
If we change how we use personal data, we will update this page and the date at the top.
